Location:
WWF Office in Zagreb
Main responsibilities:
In particular Senior Office Administrative Assistant for WWF Office in Croatia will:
Provide support and assistance to ensure proper logistic and administrative functioning of WWF Office in Zagreb
Administrate contracts for office rent and keep track of general facilities (water, electricity, telephone, mobiles, internet, cleaning, insurance etc.) including processing payments
Keep registry of office petty cash
Ensure proper maintenance of office equipment (relations with external technicians)
Purchase eco-friendly office supply (office stationary, etc.)
Support staff in mailing and material delivery when required
Assist Project Administrator and project teams in preparation of financial reports (collection of staff office and travel cost, preparation of transaction list, staff time sheets)
Assist Project Administrator in the office budget preparation
Support WWF staff in organizing their travel (including purchase of tickets, booking accommodation) and keep lists of travel agencies and accommodation/hotels in country and abroad
Give logistical assistance in organization of events, such as workshops, meetings, trainings, conferences (including press conferences) in country and abroad
Maintain and archive server folders (only regarding office administration)
Give “green office” guidance to all staff (recycling, energy efficiency, etc.)
Ensure that office insurance and occupational safety rules are applied for the office
Keep track of travel insurance of staff
Assist Project Administrator in drafting contracts and procurement procedures
Required skills and competencies:
• High school degree (economy, administration, or similar), university degree is an advantage
• Additional formal or informal trainings
• Minimum 2 years of active office management/administration experience (experience with EU‐funded project/ EU co‐financed projects is advantage)
• Proven experience with bookkeeping practices according to national regulations. Accountant degree is a plus
• Fluency in English
• Excellent computer skills (Word, Excel, Power Point, MS Project, Outlook, Internet, other software is an advantage),
• Proven track record of professional results in a similar business setting (min. 3 reference letters with contact details are mandatory)
